Polymath AI Labs, Inc. ("Polymath," "we," "us," or "our") operates polymathlabs.ai and anthologyresearch.ai. This Privacy Policy describes how we collect, use, and share information when you use our websites and services.
Who This Policy Covers
This Policy applies to four groups, and some sections apply only to one of them:
- Site visitors — anyone who browses our websites or contacts us.
- Applicants — individuals who apply to join the Anthology Fellows community, including anyone who participates in our voice interview process (each, an "Applicant"). Sections marked as applying to Applicants are directed at you.
- Anthology Fellows — individuals who join the Anthology Fellows community and participate in projects on our platform, whether or not they are engaged as a contractor.
- Customers and business contacts — personnel of organizations that use our services.
If you are accepted into the Anthology Fellows community, your engagement will be governed by a separate Contractor Agreement, which may address the handling of your information differently. Where that agreement conflicts with this Policy, that agreement controls as to the subject of the conflict.
"Personal Data" means information that identifies, relates to, describes, or could reasonably be linked with a particular individual, including information described as "personal information," "personally identifiable information," or "sensitive personal information" under applicable law.
Information We Collect
We may collect information you provide directly to us, such as when you contact us via email, sign up for our services, or otherwise communicate with us. This may include your name, email address, company name, and any other information you choose to provide.
When you visit our website, we may automatically collect certain information, including your IP address, browser type, operating system, referring URLs, and information about how you interact with our website.
Information We Collect From Applicants
What we collect depends on how far you progress through the application process (submission, screening, voice interview, assessment, verification, decision). The categories below describe what we may collect across the full process.

You are not required to provide every category. Declining to provide information necessary to evaluate your application, verify your identity, or determine your eligibility may mean we cannot process your application.
Voice Interviews: Notice and Consent
This section applies to Applicants and describes our most sensitive processing. Please read it before beginning an interview.
What happens. Part of our application process is an interview conducted by an automated, AI-driven interviewer. The interview is audio only. We do not record video, and we do not require or request camera access. Before the interview begins, we will tell you that the session will be recorded and ask you to affirmatively consent. If you do not consent, the interview will not start, and we will be unable to proceed with your application.
What we record and generate. We record the audio of the session. From that recording we generate a written transcript, structured scores against role-specific criteria, and written evaluation notes. Both the recording and the derived materials are reviewed by our systems and may be reviewed by Polymath personnel.
What we analyze and what we don't. We analyze the content and substance of your answers: the accuracy, depth, clarity, and relevance of what you say. We do not score you on vocal characteristics such as accent, pitch, tone, speech rate, pauses, or perceived emotion, personality, or affect, and we do not use voice analysis to infer health conditions, disability, age, national origin, or other protected characteristics.
Voiceprints and biometric identifiers. We do not create voiceprints. We do not extract, create, or store a voiceprint or other biometric identifier from your interview audio. The recording is stored as an audio file and processed for its verbal content only. We do not use it to identify you across sessions by voice characteristics.
Automated decision-making and human review. Your interview is scored with the assistance of automated tools. We do not reject an application on the basis of your interview, assessment, or other evaluation materials solely by automated means; a Polymath reviewer considers those materials before any evaluation-based rejection. Separately, an application may be closed automatically for inactivity, without an evaluation and without human review, as described under "Automated Closure of Inactive Applications" below. In either case, you may request human review of the outcome, contest it, and provide additional context by writing to support@anthologyresearch.ai. Where required by law, we will not subject you to a decision based solely on automated processing without a lawful basis or your consent.
Use of interview data. We use your interview recording, transcript, and derived assessments solely to evaluate your application, verify your identity, prevent fraud, meet our legal obligations, and—in aggregated or de-identified form that cannot reasonably be linked back to you—to measure and improve the fairness and accuracy of our interview process. We do not use your interview audio or transcript to train AI models, and we do not license, sell, publish, or use them for marketing or promotional purposes.
Retention of interview materials. Recordings are deleted after 12 months. Transcripts are retained indefinitely to avoid re-interviewing you for later roles and to meet recordkeeping obligations. You may request deletion at any time as described under "Your Rights."
Automated closure of inactive applications. This section applies to Applicants. If your application does not progress within the time limits we set, our systems may close it automatically, without human review. This happens in two situations:
- You do not schedule your interview within the booking window stated in your invitation, after we have sent you the invitation and a reminder.
- You do not begin your take-home activity by the stated deadline, including any grace period.
A closure of this kind is based only on whether a step was completed within the time allowed. It is not an assessment of your qualifications and does not consider the content of your application, interview, or any other evaluation material. We will email you when your application is closed.
If your application was closed for inactivity, you may ask us to review the closure, explain the circumstances, and request that it be reopened or that you be considered for future roles, by writing to support@anthologyresearch.ai.
How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our services
- Respond to your inquiries and communications
- Send you technical notices, updates, and administrative messages
- Monitor and analyze trends, usage, and activities in connection with our services
- Detect, investigate, and prevent fraudulent transactions and other illegal activities
- Evaluate applications, conduct interviews and assessments, and match Applicants to projects
- Administer the application process, including sending invitations and reminders and closing applications that do not progress within the time limits we set
- Conduct reference and credential checks, where permitted by law and with your authorization
- Administer contracts, onboarding, and payment for accepted community members
- Comply with legal, tax, immigration, and recordkeeping obligations
- Analyze and improve the fairness, accuracy, and accessibility of our recruitment process, using aggregated or de-identified data
Sources of Personal Data
We collect Personal Data from:
- You, when you provide it directly.
- Your interview and assessment sessions, including audio you generate during them.
- Third parties, including recruiters, applicant tracking and interview platforms, candidate sourcing and people-search providers, identity verification providers, credentialing bodies, background check providers (where authorized), and references you name.
- Publicly available sources, including professional networking profiles and other sources you identify or refer us to.
Sharing of Information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We may share information about you in the following circumstances:
- With service providers who perform services on our behalf, including hosting and cloud infrastructure; applicant tracking and interview technology; speech-to-text and AI model providers; identity verification and fraud prevention vendors; background check providers; payment processors; error monitoring and observability tools; transactional email, recruiting outreach, and email verification providers; candidate sourcing and people-search providers; interview scheduling tools; and electronic signature providers.
- With customers, in the case of accepted community members, in the form of a profile summarizing your verified skills, experience, and assessment outcomes. Raw interview audio is never shared with customers.
- To comply with legal obligations or respond to lawful requests.
- To protect our rights, privacy, safety, or property.
- In connection with a merger, acquisition, or sale of assets.
- In aggregated, de-identified, or anonymized form that cannot reasonably be used to identify you
We require service providers to process Personal Data only on our instructions and to maintain protections consistent with this Policy.
Data Security
We take reasonable measures to help protect your personal information from loss, theft, misuse, and unauthorized access, including encryption in transit and at rest, access controls limiting interview recordings to personnel with a need to access them, and logging of access to recordings. However, no method of transmission over the Internet or electronic storage is completely secure.
Data Retention
We retain Personal Data for as long as necessary for the purposes described in this Policy, and thereafter as required to comply with legal obligations, resolve disputes, and enforce our agreements. In setting retention periods we consider the sensitivity of the data, the purpose of collection, and applicable legal requirements. Specific periods for interview materials are stated in the "Voice Interviews" section above. We may retain data indefinitely in aggregated or anonymized form.
Your Rights
Depending on where you live, you may have the right to request access to, correction of, deletion of, or a portable copy of your Personal Data; to limit our use of sensitive personal information; to opt out of sale or sharing (we do neither); to object to or restrict certain processing; and to withdraw consent you have given. We will not discriminate or retaliate against you for exercising these rights, and exercising them will not disadvantage your application.
To make a request, email support@anthologyresearch.ai. We may need information to verify your identity before responding. You may use an authorized agent with written permission. We will respond within the period required by law.
Applicants in the EEA, UK, and Switzerland
Polymath is the controller of your Personal Data. We process it on these legal bases: performance of, or steps toward, a contract (evaluating your application); legitimate interests (fraud prevention, security, improving our recruitment process, internal administration), balanced against your rights; legal obligation; and consent, where we ask for it—including for interview recording. Where we rely on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.
You have the rights of access, rectification, erasure, restriction, portability, and objection, and the right to lodge a complaint with your supervisory authority. You also have rights concerning decisions based solely on automated processing that produce legal or similarly significant effects; see "Automated decision-making and human review" and "Automated closure of inactive applications" above.
We may transfer your Personal Data to the United States and other jurisdictions. Where required, we rely on Standard Contractual Clauses or another lawful transfer mechanism, a copy of which is available on request.
Third-Party Links
Our website may contain links to third-party websites or services. We are not responsible for the privacy practices of these third parties.
Children's Privacy
Our services are not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. Applicants must be at least 18 years old. We do not knowingly accept applications from, or conduct interviews with, individuals under 18.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date. If we make a material change affecting how we handle interview recordings or biometric data, we will provide advance notice and, where required, obtain your consent before the change takes effect.
